Practice & Client Experience Coordinator

We’re looking for a Practice & Client Experience Coordinator to play a key role in delivering a smooth, professional client journey while supporting the day-to-day operations of our firm.

About the Role

You’ll be at the centre of our client experience—managing onboarding, coordinating compliance requirements, and ensuring our internal processes run efficiently. You’ll work closely with our team, clients, and leadership to keep everything moving smoothly.

Key Responsibilities

Client Coordination

  • Manage the end-to-end client onboarding experience, including ATO & ASIC compliance, engagement letters, ID verification, and tax updates

  • Coordinate ASIC compliance requirements, including annual returns, Form 484 lodgements, and client communications

  • Oversee ATO electronic lodgements and ATOmate processes

  • Maintain and manage client records and database accuracy

  • Respond to client enquiries via phone and email in a timely and professional manner

  • Coordinate new company and trust setups

  • Proactively follow up with clients on deadlines and required actions

  • Collaborate with the Marketing Manager on client communications and updates

Practice Administration

  • Manage workflow processes and track progress of the ATO compliance program

  • Prepare staff productivity reports

  • Review and process timesheets, including daily reporting and staff location tracking

Shared Responsibilities

  • Greet and assist clients in person, creating a welcoming experience

  • Manage incoming calls and general enquiries

  • Provide administrative support to Partners and Directors

  • Coordinate document preparation, filing, scanning, and courier services

  • Manage incoming and outgoing mail
